1. About these Terms

These Terms govern your use of ApprenticeshipOS.

ApprenticeshipOS is operated by Lucas Thomas trading as ApprenticeshipOS, a sole trader.

By creating an account or using ApprenticeshipOS, you agree to these Terms.

2. What ApprenticeshipOS does

ApprenticeshipOS is an organisational workspace for apprentices. It can help you track assignments and deadlines, record off-the-job learning activity, organise placement information, link evidence to Knowledge, Skills and Behaviours, create notes and reflections, receive service reminders, review analytics and generate portfolio reports.

ApprenticeshipOS is not an employer, training provider, assessment organisation, government service, substitute for official apprenticeship records or source of formal competency approval. You remain responsible for checking official requirements with your employer, training provider and any relevant assessment organisation.

3. Eligibility

You must be at least 16 years old to create an ApprenticeshipOS account. You must be at least 18 years old to purchase Premium. You must provide accurate information.

4. Your account

You are responsible for keeping your login details confidential, using an email address you control, maintaining accurate account information and telling us promptly if you believe your account has been compromised.

You must not share your account with another person, impersonate another person, access another user's account without permission or attempt to bypass access controls.

5. Your records and uploads

You retain ownership of information and files that you add to ApprenticeshipOS. You give us permission to store, process and display your material only as needed to provide the service.

Do not upload restricted employer information, security-classified material, trade secrets, unlawful content, malicious files, content that infringes another person's rights, personal information about other people unless authorised or material that your employer or training provider prohibits you from storing externally.

Review every Portfolio Export before sharing it.

6. Free and Premium plans

ApprenticeshipOS provides a free plan and an optional Premium subscription. The free plan provides access to core organisational tools.

Premium may include advanced analytics, portfolio export, evidence insights, enhanced reporting and other Premium tools shown on the pricing page.

7. Premium subscription

Premium currently costs £4.99 per month. The subscription renews monthly until cancelled. Payments are handled through Stripe.

Before continuing to checkout, you must be shown the monthly price, recurring billing frequency, cancellation information, statutory-rights wording and links to these Terms and the Privacy Notice.

8. Cancelling Premium

You can cancel Premium through the billing-management page linked from your ApprenticeshipOS account.

Unless stated otherwise during checkout, cancellation prevents future renewals, Premium access continues until the end of the current paid billing period and your account returns to the free plan afterward. Cancelling Premium does not delete your ApprenticeshipOS account.

9. Statutory rights and refunds

Nothing in these Terms limits your statutory consumer rights. You may have cancellation or refund rights in certain circumstances.

10. Service reminders

You may choose whether to receive service-reminder emails. Reminders are organisational aids. They are not a substitute for checking deadlines with your employer or training provider. We cannot guarantee that every reminder will be delivered or received.

11. Marketing communications

Marketing emails are optional. Where offered, marketing consent must be separate from accepting these Terms, optional, unticked by default and easy to withdraw.

12. Acceptable use

You must not use the service unlawfully, upload malware or harmful code, disrupt the service, bypass security controls, scrape the service excessively, probe for vulnerabilities without written permission, harass other people, upload content without permission, upload restricted employer or security-classified material or misuse official Skills England information.

13. Availability and changes

We aim to keep ApprenticeshipOS available and reliable. However, the service may sometimes be unavailable, features may change, maintenance may be required, third-party services may experience issues and early-access features may change during development.

14. Official apprenticeship information

ApprenticeshipOS may display official apprenticeship-standard information sourced from Skills England. Always check current official sources and your training-provider guidance where accuracy is critical.

15. Intellectual property

The ApprenticeshipOS name, branding, software and original website content belong to Lucas Thomas trading as ApprenticeshipOS or the relevant licensors. Official Skills England material remains subject to its applicable licence and attribution.

16. Suspending or closing accounts

We may suspend or close accounts where reasonably necessary, including where these Terms are seriously breached, the service is misused, security is threatened, payment fraud is suspected or the law requires action.

You may request account deletion by emailing support@apprenticeshipos.com. The reviewed account-deletion workflow is not yet available inside the product.

17. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so. ApprenticeshipOS is an organisational tool. It does not replace official apprenticeship records, professional advice, employer instructions or training-provider requirements.

18. Third-party services

ApprenticeshipOS uses third-party services for hosting, authentication, database, storage, payment processing and email delivery. Their availability and terms may affect parts of the service.

19. Changes to these Terms

We may update these Terms where reasonably necessary. We will update the date at the top and provide a more prominent notice where appropriate.

20. Governing law

These Terms are governed by the laws of England and Wales. If you are a consumer, you may also benefit from mandatory protections available under the laws of the part of the United Kingdom where you live.
